A workflow canvas makes automation tangible. Connect a mailbox, extract invoice details, query an ERP and route a decision. Seeing those steps run is useful evidence of technical feasibility. The next question is whether the organisation is ready to own the process every working day.

For a finance team with strong engineering support, n8n can be a sensible route. For a team whose main constraint is the capacity to implement and run the work, the platform is one part of a larger decision.

n8n documents both self-hosted deployment and cloud options. Its self-hosted offering includes a Community edition and licensed editions with additional capabilities. Human approval is also supported. An AI agent can pause before using a selected tool, present the proposed input to a reviewer and proceed or cancel according to that decision. The platform provides useful mechanisms. The finance process still needs rules, ownership and acceptance criteria specific to the company.
Trace what happens after the first successful run
Imagine a workflow that reads a supplier statement and identifies invoices missing from the ledger. On the first run, every reference is clear and the API responds. The demonstration works.
In production, one supplier changes its reference format, another sends a statement in a password-protected attachment and the ERP times out after receiving a request. A finance colleague has already handled one of the same cases manually.
The questions now concern business state. Has the transaction been recorded? Is the case genuinely missing, or is the search incomplete? Would retrying create a duplicate? Who can decide whether to proceed?
These are design requirements for any implementation, including one delivered by Curia. A green execution indicator is useful only when it corresponds to the correct business outcome.

The last row deserves attention. Depending on one enthusiastic employee can work for a prototype. For an operational process, a second person needs to understand how to diagnose a failed case and resume safely. A managed service should face the same scrutiny through its continuity and handover arrangements.
A small maintenance commitment can change the comparison
Consider an illustrative workflow that needs eight engineering hours a month for maintenance and four finance hours for checking and rule clarification. At assumed loaded rates of £70 and £40 respectively, that is £720 a month, or £8,640 a year, before hosting, licences, model usage and initial development.
If engineering effort rises to 24 hours a month while finance effort remains unchanged, the annual amount becomes £22,080. The £13,440 difference arises entirely from additional engineering time.
Neither scenario estimates typical n8n costs or a Curia fee. They show why buyers should stress-test the maintenance assumption, particularly where upstream systems and document formats change frequently. A workflow reused across several processes could justify that internal investment; a one-off process may not.
The relevant comparison is total cost over an agreed period, using the same transaction volume, coverage and service expectations. A platform subscription and a managed workflow fee purchase different things.
Make approvals useful to the reviewer
An approval step is effective when it presents a specific action, the evidence supporting it and the policy being applied. “Approve invoice?” is a weak request if the reviewer must reopen three systems to understand the discrepancy.
For an invoice exception, the review packet might include the invoice line, purchase order line, receipt status, amount difference and proposed treatment. Record who approved which version of the action. If the amount or recipient changes, the earlier approval should not silently authorise the new action.
These are recommended process requirements, rather than claims that any platform supplies the entire design automatically. They are also a useful way to compare implementation partners: ask each to demonstrate a denied approval, an expired approval and a changed transaction.
Choose the capability you want to own
Building with n8n is attractive when the organisation wants an enduring internal automation function, has the skills to support it and can spread that investment across enough useful work. It can also be appropriate for a narrow process with stable inputs and modest maintenance needs.
Curia is relevant when finance wants the operational improvement without establishing the full delivery and maintenance capability itself. Its assessment should identify the work, establish a baseline and determine whether an operated workflow has a defensible business case.
A useful buying exercise is to write a one-page responsibility map before requesting a price. Include business decisions, platform administration, workflow changes, monitoring and incident recovery.
